  • Your name, email address, and phone number when you contact us or book a call
  • Financial information including bank transaction data and income/expense figures necessary to provide our bookkeeping service
  • Communication records including WhatsApp and email correspondence
  • Website usage data collected automatically via Google Analytics (see section 5)

3. How We Use Your Data

We use your data to:

  • Provide our bookkeeping and MTD compliance services to you
  • Submit quarterly updates and final declarations to HMRC on your behalf
  • Communicate with you about your account and service updates
  • Improve our website and services using anonymised analytics data

4. Legal Basis for Processing

We process your personal data on the basis of contractual necessity (to deliver the services you have engaged us for), legal obligation (HMRC compliance requirements), and legitimate interests (improving our service and communicating with you).

5. Third-Party Services

We use the following third-party tools which may process your data:

  • Google Analytics — We use Google Analytics to understand how visitors use our website. This collects anonymised data such as pages visited, time on site, and approximate location. You can opt out via Google's opt-out tool.
  • Calendly — Used to book onboarding calls. See Calendly's privacy policy.
  • WhatsApp (Meta) — Used for client communication. Messages are subject to Meta's privacy policy.

6. Data Retention

We retain your personal and financial data for a minimum of 6 years in line with HMRC requirements. After this period, data is securely deleted. You may request deletion of non-essential data at any time.

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data (subject to legal retention obligations)
  • Object to or restrict our processing of your data
